This section, together with the 'Life on Board' and 'Essential Information' pages, which form part of the Booking Conditions, includes some practical information to help you plan your Hurtigruten Coastal Voyage holiday.
Booking Your Hurtigruten Voyage
When you contact us, please assist us by having the following information available: full names of all members of your party (exactly as the names are shown on their passports) together with details of dates of birth and any special requirements or disabilities.
It is essential that the family and first names on the passport match those on your travel documents exactly.
When you contact us to make a booking we will, in most cases be able to confirm your holiday immediately, and advise you of flight times and other itinerary details as well as the price including any applicable supplements or extras. For high season dates, when the demand is great, and also if you book within eight weeks of departure, we may have to request additional cabin or hotel space, which means that it may take slightly longer to confirm your holiday, though usually no more than 48 hours.
We are unable to accept provisional or conditional bookings.
Correspondence
When you make your booking through 'Coastal Cruises', all communication between you and Hurtigruten Limited must be through Coastal Cruises. Please quote the reference number shown on your invoice in any communication.
We will endeavour to email a confirmation invoice within 7 days of receiving your booking form and deposit. Only one invoice and one set of documents are issued per booking form. If you are travelling with friends, but would like to receive separate documents please complete two booking forms and advise us at the time of booking. Your travel documents will normally be dispatched to 'Coastal Cruises' two weeks before departure.
Deposits and Final Payments
Once you have asked us to confirm your Hurtigruten booking the total price of the arrangements you have booked is due and is payable as follows:-
(i) If you book more than 120 days before your scheduled departure date, a non-refundable deposit of 25% of the holiday cost should be paid when you book and the balance 120 days before your scheduled departure date.
(ii) If you book less than 120 days before your scheduled departure date the full price is payable when you book.
Our preferred method of deposit payment is by bank debit card, credit card or American Express. Balance payment may be made by bank debit card, credit card, American Express or cheque (providing there is time to clear it to meet the payment schedule shown above - you should allow 5 working days for clearance from the time we receive it).
How to Pay
Please note that there is a 1% service charge for all bookings from outside the EU in order to cover the extra costs of servicing these bookings.
You can pay your deposit by bank debit card or credit card. Balance payment may be made by cash, bank debit card, credit card or cheque (providing there is time to clear it to meet the payment schedule shown above - you should allow 5 working days for clearance from the time we receive it).
